Etsy, Reverb and Depop use Coupa to manage our procure to pay process. We work with our suppliers (you) via the Coupa Supplier Portal (CSP). The CSP is a 100% free tool for you to easily conduct business with us (or any other Coupa based clients you work with). The CSP makes managing your customers and transactions easy. You can manage content and settings on a customer-by-customer basis, by:
▪ Receiving and viewing purchase orders, and acknowledge receipt of orders
▪ Creating, viewing, and sending invoices
▪ Creating and managing customer-specific electronic catalogs
▪ Managing customer-specific company profiles and remit-to (aka payment) information
▪ Checking the status of transactions
We are currently undergoing an initiative to improve how we engage with our suppliers. As part of this effort, we use Coupa and the CSP to effectively request and pay for goods and services.
Signing up to the CSP allows your invoices to be processed more efficiently, resulting in quicker payments, greater visibility of orders received and the status of your invoices.
If this is your first time working with Coupa, your first step will be to create an account. You will be directed to create a Coupa account while you are providing your onboarding info in Certa.
❗Please note that this step is mandatory and will need to be actioned by you. Etsy's Procurement team won't be able to create a Coupa account on your behalf.
To start your Coupa account creation, please go into your Certa Onboarding Questionnaire and follow the below actions as detailed in the screenshot:
Once you have clicked on "sign up for E-Invoicing" you will be brought to the CSP Login Page. If this is your first time using the CSP, you will need to "Create an account".
If you’re the first person in your company to create a profile , you’ll be assigned Admin privileges, which means you have the ability to allow others in your company access and to connect with other clients who use Coupa. To begin the registration you will be prompted to create a password:
1. Read and review the Privacy Policy and Terms of Use
2. Accept the terms of use
3. Click Submit.
Once you have set up your password, you can finish setting up your account.
When done with creating your CSP Account, come back to Certa and complete "Step 4." by confirming you have registered for the CSP and the email address you used to register to the CSP.
Invoicing via the CSP is now mandatory for all Etsy, Reverb and Depop suppliers. Any Invoices submitted outside of the CSP will be rejected. If you do not wish to use the CSP, you will have to ask for an exception. Exceptions are allowed only in rare cases. Please reach out to suppliers@etsy.com for an exception. If an exception is approved, we offer the following methods to submit invoices:
Invoicing via Supplier Actionable Notifications
Supplier Actionable Notifications (SAN) gives you the ability to act directly from your email inbox when you receive a PO from us. Follow directions on the invoice to use this option.
Invoicing via Email
Email invoicing is our least preferred option. This option is to send invoice@etsy.com your invoice directly by email
